Quick answer

What should a furniture team verify before site handover?

Match the delivered furniture and components to the confirmed order and model-specific instructions; check site access, visible condition, agreed location and the responsible installer. Record completed work, any required qualified review, documents, user guidance and unresolved issues separately. A receiving signature is not automatic installation completion or project acceptance. Use the editable record below to assign an owner and next action rather than inventing a missing confirmation.

Treat the site as part of the project specification

An office furniture installation checklist is useful only when it points to the actual order and room. Before goods arrive, compare the latest agreed model and configuration schedule with the measured site plan. Check the receiving entrance, lifts, turns, door leaves, protected storage area and final rooms using the actual package and product information. The route and staging plan belong to the project's site team; a generic clearance printed in a blog cannot decide whether a specific carton passes a specific corner.

Assign a receiving contact, project lead, installer and specialist reviewers in advance. Record whether unloading, carrying, assembly, placement, removal of packing and user orientation are included in the written service agreement. A supplier's delivered-goods term does not by itself supply installation. MENBRO product and OEM routes can answer model questions, but this guide does not claim a universal MENBRO installation service.

Before arrival: align the room, order and people

Keep a versioned order line for each chair, desk, table or lounge configuration. Attach the supplier's confirmed model or SKU, parts or BOM reference, finish and agreed location. If the installation drawing has changed since the order, name the version that installers should use and ask whether goods still match. Reserve receiving access and coordinate other trades so furniture is not left unprotected or placed against an unfinished interface. Site safety and building controls are determined by the responsible local team.

Prepare a discrepancy route before unloading. Who may sign for cartons? Who photographs visible damage? Who decides whether an affected item is set aside and who contacts the supplier? These questions prevent a delivery signature from being misread as a final quality decision. Keep a copy of the agreed site services and any installation instructions accessible to the people assigned to work, without rewriting a manufacturer method into this checklist.

At receipt: identify the exact goods and condition

Compare the delivery note and carton identities with the order line and packing list. Record what is visible: count, labels, external condition, isolated loose components and differences. Link photographs to the line, carton and date where the process permits. A clean outer carton cannot prove concealed furniture is undamaged, and a damaged carton does not itself determine the remedy. Open, inspect and preserve documentation under the agreed receiving and claim process.

If a base, leg, controller, arm or connecting part looks different, avoid forcing it into the intended configuration. Ask for the current parts identity and instructions. Separate items that can proceed from those awaiting an answer. A receiving log can acknowledge delivery while marking a furniture item on hold for configuration or condition review. Document any missing packaging identity needed for later service or spare-part requests.

During installation: use the selected maker's instructions

The responsible installer should confirm that the product, version, supplied components and instructions match before work starts. The project team should identify any structural, electrical or safety-critical tasks that require authorized or qualified people. This page does not give torque, wiring, lifting, dismantling, anchoring or protection-bypass instructions. If the required instruction or qualified worker is missing, hold the affected activity and record who will obtain the answer.

Place each item against the agreed plan, then compare the actual furniture footprint in its intended use position with doors, fixed services and paths. A desk may fit physically while its equipment or movement route conflicts with a floor box; a chair may block access when pulled back. Ask the site designer to resolve the layout, not an installer to improvise an undocumented structural or electrical change. Record any authorized field change against the drawing and order version.

Complete an allowed product review without inventing tests

After permitted assembly, inspect visible surfaces, component identity and completion of the agreed location. Check functions only as the selected model's instructions and project acceptance plan permit. For powered furniture, qualified personnel should handle electrical or safety evaluation under an approved method. A casual up-and-down movement is not a certificate, engineering test or complete safety sign-off. Do not treat a material or component report as proof of an installed whole product.

For each issue, record product line, location, observation, immediate use status, owner, proposed action and planned recheck. If safe use is uncertain, withdraw the affected item pending qualified review. A punch list should not erase a prior acceptance decision; it should state exactly what remains excluded. Keep unresolved items visible to facilities staff and supplier contact so a user is not left with an ambiguous service path.

Handover: separate user readiness from project closeout

Transfer the applicable instructions, model/version schedule, approved drawing, service contact and any agreed maintenance or replacement route. Explain ordinary user controls only from the selected product's instructions. Tell the facilities team which issues remain open and which items are out of use. Remove or account for packaging according to the contracted site coverage and local waste process. Keep any sample, photographs and inspection records linked to the final configuration.

The authorized buyer may accept one completed area while holding another. Record who reviewed the work, the date, the precise accepted coverage, exclusions and agreed follow-up. A signature does not automatically waive contract rights, certify regulatory compliance, pay an invoice or close every defect. Those outcomes depend on the written agreement and applicable project process. Keep installation completion, user handover and final commercial closeout as separately named milestones.

Route an exception without losing ownership

Use this six-stage flow for a missing part, visible damage, site conflict or incomplete documentation. It is a record and escalation path, not a repair procedure.

  1. 1. IdentifyRecord line, model/version, carton or location and the observed issue without guessing its cause.
  2. 2. ProtectKeep the affected item from unsafe use or further damage under the site's agreed process.
  3. 3. AssignName the receiver, installer, supplier or qualified reviewer responsible for the next decision.
  4. 4. ClarifyRequest the model-specific instruction, replacement identity, site decision or document needed to resolve it.
  5. 5. RecheckRecord the authorized action, new observation and version; repeat applicable review by the right person.

Use the working installation and handover checklist

  • Confirm the accepted order, model/BOM versions and room plan before the delivery window.
  • Measure the route and arrange safe access, storage and other-trade coordination.
  • Name receiving, installation, qualified review and buyer sign-off owners.
  • Match cartons, accessories and visible condition to each line; photograph discrepancies under the agreed process.
  • Locate current manufacturer instructions; hold work if the selected version or required specialist is unclear.
  • Record actual room position and fixed-service interfaces against the agreed drawing.
  • Check only the allowed model-specific completed state and function under the agreed method.
  • Log damaged, missing or unsafe items separately with owners and use status.
  • Transfer applicable manuals, drawings, document status, service contacts and open issues.
  • Explain permitted ordinary controls and any restrictions to the facilities/user team.
  • Separate receiving acknowledgment, installation completion, user handover and final acceptance.
  • Date every open item and recheck; retain the actual accepted model/version reference.

Frequently Asked Questions

What belongs on an office furniture installation checklist?

Record the confirmed order and model versions, site access and receiving route, carton and component identity, visible arrival condition, responsible installer and manufacturer instructions, agreed location and interfaces, qualified checks where required, outstanding issues, document handover, user orientation, decision owner and follow-up. Keep arrival, completed installation and final acceptance as separate events.

Does signing for delivery mean the furniture is installed and accepted?

No. A receiving signature may record delivery or carton count under an agreed process. It does not automatically confirm correct model, complete assembly, functional review, site fit, absence of damage or final project acceptance. State each event and its documentation separately in the contract and handover record.

Who should assemble powered desks or structural furniture?

Follow the selected manufacturer's model-specific instructions and the project's qualified-person requirements. The buyer should name the responsible installer and relevant specialist, including any electrical or structural tasks. This guide does not authorize disassembly, live wiring, modification, bypassing protection or a generic assembly method.

How should a damaged or missing item be handled onsite?

Identify and photograph the affected carton, product and line reference under the agreed receiving process; protect it and record whether it can be safely used. Assign an owner and written resolution path. Hold affected acceptance where documentation or safety is incomplete, while recording the status of unaffected items separately. Do not perform an unapproved repair.

What documents should be transferred at handover?

Ask for the applicable model/version instructions, supplied component or configuration record, project drawings or BOM, approved sample or visual reference where relevant, document requests, service contact and the issue log. Name which records are supplied, pending or outside coverage. A COA request category is not a published original certificate.

Can one universal clearance or electrical check prove site compliance?

No. The responsible project team should verify actual room dimensions, routes, access, fire and accessibility requirements, power interfaces and local rules for its site. The manufacturer or qualified installer should identify product-specific checks. This guide provides no global minimum passage value or compliance guarantee.

Does MENBRO provide installation at every destination?

No universal installation or site-service commitment is stated here. Ask MENBRO which product-specific documentation, packing or project support is available and obtain a written agreement identifying the actual installer, destination, tasks, exclusions and acceptance route. The editable handover worksheet is a planning record, not a MENBRO service promise or signed certificate.
